Position Overview: The Project Coordinator supports the planning, execution, and completion of various projects within our project management team. This role involves administrative tasks, communication, and coordination among team members to ensure project milestones are achieved on time and within budget.

Key Responsibilities:

 Project Setup

  • Receive and book all construction projects

Project Administration

  • Process, distribute, and track documentation as it relates to projects: submittal and subcontractor distribution and tracking purchase order initialization.
  • Identify and set up procurement agreements for subcontractors or approved vendors.
  • Assist in completing change orders and booking the related change orders
  • Complete data entryincluding forecast reports, opportunity reports, opportunity re-assignments, maintenance, etc.

Financial processing

  • Process and deliver financial documents for projects, processing and reconciliation of statements.
  • Accounts Receivable calls to customers.

Project Closeout

  • Process closeout of projects both internally and externally. Distribute O&M Manuals to Customer, Distribute Warranty Letters and Administer complete project closeout.

Administrative

  • Set up project files and attend scheduling meeting and take meeting minutes .
  • Maintain Warranty Log and Responsible for Subcontractor compliance

Qualifications:

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  •  2-4 years’ experience in the following areas of the construction industry-
    • administrative role(s)
    • operations support
    • subcontractor compliance
    • AP entry of material and subcontractor application for payment
  • Proficient in Microsoft Office Suite including but not limited to Word, Excel, Outlook, PowerPoint
