About the Finance Team
Ceres’ Finance department is responsible for financial reporting and allocation that allows Ceres to pursue its mission. This includes providing actionable data and strategic analysis for financial decision making, ensuring financial transparency through internal and external reporting, and protecting the organization’s financial assets by mitigating risks through internal controls, policies, and procedures.

About the Position
The Grants Manager will manage foundation grant budgets, with an initial primary focus on the Accelerator and Investor team grants. Other grant responsibilities will be assigned as needed based on program and team changes. Responsibilities include monitoring of grant expenses, timely and accurate financial reporting to foundation funders, support of grant budget development, releasing grant revenues and supporting program staff to understand resources. This position will also oversee the sub-granting process for grants within their portfolio. The Grants Manager will contribute to the development of Ceres annual initiative budgets and to the monitoring of annual budget to actual results. The grants manager will have responsibility for updating budget projections in the financial planning and budgeting system to reflect changes in the programs that they oversee.

The Grants Manager is a full-time position, located in Boston or remote and able to work eastern standard time (EST), and reports to the Grants Director, Finance Department.

Specific duties include, but are not limited to, the following:
  • Support development of budgets for foundation proposals.
  • Work closely with development, finance and program staff to develop foundation proposal budgets and to align grant budgets with annual program budgets.
  • Ensure accuracy of grant direct expenses through comparison to annual plans and projections.
  • Compile all financial-related documents required in support of funding proposals.
  • Process incoming grants.
  • Review grant budgets, oversee allocations, and track information pertinent to the grant (budget, grant period, reporting deadlines, allocations, special requirements, lobbying provisions, etc.).
  • Revise proposal budgets and initiative budgets and projections to reflect the actual award and any revenue-driven expense as needed.
  • Coordinate with program and development staff to ensure awards are properly allocated to program initiatives.
  • Create interim and final financial reports for foundation funders and monitor ongoing grant spending.
  • Develop monthly grant releases, identify issues of over or underspending, and work with Program and Finance staff on solutions to keep grants on track.
  • Maintain projected expenditure schedules as informed by program budget manager and work with program directors to ensure grants are fully and properly spent.
  • Review monthly, initiative-based budget to actuals reports and produce analysis to inform finance, development and program staff regarding the pace of spending.
  • Assist program staff in ensuring contracts and other direct expenses are properly coded to grants.
  • Work with program directors and other finance staff to monitor annual Ceres program budgets for assigned teams.
  • Assist program budget managers in developing Ceres annual budget submissions, review submissions to assure they are in alignment with foundation grant resources and requirements.
  • Review monthly financial reports for assigned teams. Lead monthly budget to actual meetings for those teams and work with program directors on projections as necessary.
  • Coordinate closely with development staff to assure they know what funding gaps need to be filled.
  • Assist in annual process to analyze and distribute grant revenue budget in Power Plan.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree or commensurate experience required.
  • Minimum of five years of relevant work experience required.
  • Proficient with Microsoft Office suite required. Strong excel skills required.
  • Proficiency with accounting software systems. Experience with Power Plan and/or Intacct is a plus.
  • Abacus Expense or other expense management systems experience is a plus.
  • Knowledge of or willingness to be trained on specific Ceres’ applications necessary for success: Salesforce, Bloomberg, and others a plus.
  • Ability to translate financial information to program staff, and programmatic strategies to finance staff.
  • Interest in developing process improvements.
  • Ability to work both independently and as part of a team in a fast-paced environment.
  • Good oral and written communication skills.
  • Ability to evaluate workload and prioritize multiple tasks to meet project deadlines.
  • Well-organized and detail oriented.

  • Sound judgment, a high degree of integrity and professionalism, with an ability to maintain discretion, confidentiality, diplomacy, and courtesy in all contacts.

Compensation and Benefits
The hiring salary is $79,545 to $84,500 paired with competitive benefits.
