Description & Responsibilities
The Grants Associate is a new role on the finance team that is result of the continued growth in the number and complexity of Ceres foundation grants. The Grants Associate will support the grant management team, providing administrative and logistical assistance as well as supporting grant intake processes and analysis. Responsibilities include supporting timely and accurate financial reporting to foundation funders and supporting the annual planning process. This position will also lead the sub-granting process for grants within the portfolio. The Grants Associate will contribute to the development of Ceres annual initiative budgets and to the monitoring of budget to actual results.

The Grants Associate is a full-time position, reporting to the Grants Manager, Finance Department.

Specific duties include, but are not limited to the following:

  • Process incoming grants.
  • Create grant numbers for incoming grants, and ensure they are added to Intacct and Salesforce
  • Support revenue re-projections when award differs from projection
  • Assist in creating interim and final financial reports for foundation funders.
  • Create interim and final financial reports for GOS funders
  • Work with the Grants Managers to maintain projected expenditure schedules as informed by program budget manager to support full spending of grants.
  • Assist program staff in ensuring contracts and other direct expenses are properly coded to grants.
  • Support Grants team and other finance staff in monitoring annual Ceres program budgets.
  • Assist program budget managers in developing Ceres annual budget submissions, review submissions to assure they are in alignment with foundation grant resources and requirements.
  • Assist in preparing monthly budget to actual reports and materials for program teams. Attend monthly budget to actual meetings and maintain meeting schedules, agendas, and notes. Work with Grants Managers and coordinate with Development staff to identify funding gaps and areas of need.
  • Assist in maintaining level of effort schedule
  • Support Grants team and other finance staff to build revenue projections for the annual budget
  • Assist in annual process to analyze and distribute grant revenue budget in Intacct
  • Maintain confirmed and projected grant schedule of all Ceres’ foundation grants and be responsible for the scheduling of monthly grant projection meetings

Qualifications

  • Minimum of two years of relevant work experience, required
  • Proficient with word-processing, spreadsheet, presentation, database, and e-mail computer applications.
  • Proficient with Microsoft Office. Strong Excel skills a must.
  • Experience with Salesforce, a plus
  • Proficiency with accounting software systems, especially Intacct a plus
  • Ability to work both independently and as part of a team, in a fast-paced environment.
  • Good oral and written communication skills
  • Ability to evaluate workload and prioritize multiple tasks in order to meet deadlines projects
  • Well organized and detail oriented

  • Discretion in working with confidential information
  • Interest and willingness to be trained on data systems and tools for necessary work.
  • Interest in climate and sustainability issues, preferred.

Compensation: The hiring salary is $49,000 to $50,000 and pairs with competitive benefits.
