We are looking for a Logistics Coordinator to join our team supporting Bloom Energy's solid-oxide fuel cell technology, one of today's most exciting clean energy solutions. This is a fully on-site role at our Newark, Delaware manufacturing campus, working closely with operations, installation, and trade compliance teams. This is an 18-month contract assignment.
Role and Responsibilities
- Own all shipping documentation for domestic and international customer shipments, including bills of lading, commercial invoices, packing lists, and carrier paperwork, ensuring accuracy and regulatory compliance
- Execute import/export activities for inbound and outbound shipments, ensuring compliance with customs, trade regulations, and Foreign Trade Zone (FTZ) procedures where applicable
- Coordinate dropship deliveries with third-party suppliers and carriers to installation sites, meeting on time delivery and cost targets while maintaining complete documentation and traceability
- Monitor customer delivery requirements, proactively track shipments, update logistics/installation tracking tools, and resolve issues with carriers, freight forwarders, and internal teams
- Interact with manufacturing and other cross-functional groups to confirm readiness of finished goods, validate part/serial information, and ensure all shipping documents match physical product
- Document the physical condition of units prior to the loading of specialized equipment shipments, including photos and inspection checklists, and retain records for audit purposes
- Perform all required shipment transactions in Oracle and maintain clean, auditable records of moves, holds, and releases
- Create and maintain organized digital and paper files for all shipments (including FTZ documentation, shipping documents, and carrier records) in accordance with corporate and regulatory record retention requirements
- Maintain a flexible schedule and work overtime based on the needs of the business
- Partner with Finance to submit required month-end logistics and FTZ documentation, and process logistics invoices in the 3rd-party payment system with correct coding and backup
- Assist in building and executing delivery plans for large customer sites, ensuring logistics documentation and compliance steps are built into the overall installation plan
- Perform hands-on duties including Cycle Counting, Palletizing & Crating of materials for shipment, ability to operate material handling equipment (i.e. Forklift/Pallet Jack/Straddle Carrier, etc.)
Required Skills and Experience
- High school diploma required; associate or bachelor's degree in Supply Chain, Logistics, Business, or related field preferred
- 3-5 years in logistics, transportation, or trade operations with hands-on responsibility for shipping documentation and compliance
- Direct experience creating and processing bills of lading and other shipping documents for both domestic and international shipments (not just reviewing them)
- Experience shipping technically complex or capital equipment products to customer sites, with sensitivity to staging, installation schedules, and site constraints
- Experience using an enterprise inventory or ERP system (Oracle strongly preferred) to execute shipping and inventory transactions
- Demonstrated experience in a compliant logistics environment: following SOPs, working with checklists, and maintaining auditable records for internal or external reviews
- Experience working with transportation carriers and freight forwarders; able to negotiate, escalate, and resolve documentation related issues
- Strong working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) for reporting, documentation, and communication
- Ability to work independently, prioritize multiple shipments and deadlines, and maintain high accuracy under time pressure
- Strong collaborator and self-starter with a continuous improvement mindset
Preferred
- Experience working within a Foreign Trade Zone (FTZ), including understanding of FTZ inventory controls, system transactions, and compliance obligations
- Experience working with freight forwarders and/or freight brokerage, or in a company with robust import/export controls
