Office Manager – Energy Efficiency & Home Performance
Full-Time | Kalamazoo, Mi

We are a rapidly expanding home performance and energy efficiency company dedicated to improving the way people live in their homes. Our team helps homeowners save money, lower energy use, and create healthier living environments through cutting-edge building science and energy efficiency solutions.
Key Responsibilities
· Manage day-to-day office operations to ensure efficiency and organization.
· Direct supervisor for two office administrative staff
· Coordinate scheduling of home performance assessments, installations, and follow-ups.
· Serve as the first point of contact for clients—professional, warm, and solution-focused.
· Support HR functions, including interviewing, hiring, onboarding, and coordinating staff training.
· Act as safety coordinator for incident reporting.
· Assist with CRM Software management
· Assist with creating strategic plan and work with management on business development
· Collaborate with leadership to improve workflows, systems, and communication.
· Assist with bookkeeping tasks as back-up for In-House Accountant (invoices, vendor management, expense tracking).
· Support MiHER point person with MiHER questions, decisions, uploads, and invoicing
· Create agendas for and lead staff meetings
· Assist in building relationships with trade allies and community leaders
· Liaison with IT contracts – Verizon, Geek Easy, etc
· Coordinate and submit RFPs for Weatherization and other government and non-profit opportunities
· Personal assistant for owner
· Contribute to a positive, supportive company culture.
Qualifications
· 3+ years of office management, administrative, or operations experience (preferred).
· Excellent organizational and time management skills.
· Strong interpersonal skills—able to build trust with both customers and team members.
· Comfortable juggling multiple priorities in a growing company.
· Proficiency with Microsoft Office Suite, Google Workspace, and project management tools.
· Experience with QuickBooks or other bookkeeping software a plus.
· Passion for sustainability, energy efficiency, or construction industry experience is a bonus.
