Project Coordinator - Solar & Energy Infrastructure
Role Overview
The Project Coordinator plays a critical role within the Project Delivery team, supporting energy efficiency and sustainable infrastructure projects from engineering and procurement through construction, commissioning, and closeout. You will work closely with Project Managers to coordinate schedules, documentation, contractors, engineers, suppliers, utilities, clients, and field teams.
This is a hands-on project delivery role for someone who understands how construction projects move from engineering and procurement into field execution. The successful candidate will be highly organized, technically comfortable, proactive with follow-up, and able to manage multiple active projects.
Key Responsibilities
Project Coordination & Execution Support
- Support Project Managers in coordinating project plans, schedules, and deliverables.
- Track project progress against milestones and escalate deviations.
- Maintain accurate and up-to-date project documentation.
- Participate in design and coordination meetings with engineers, consultants, and internal teams to support project planning and execution alignment.
- Assist in reviewing site conditions and identifying potential risks or discrepancies that may impact scope, schedule, or cost.
- Support the translation of design intent into execution by coordinating between design teams and field operations.
Solar & Electrical Project Coordination
- Support commercial solar projects from engineering and utility approvals through procurement, construction, commissioning, and closeout.
- Coordinate with electrical engineers, structural engineers, local distribution companies (LDCs), ESA, subcontractors, and equipment suppliers.
- Track CIA applications, engineering drawings, ESA Plan Review, permits, utility approvals, and other project milestones.
- Review and organize SLDs, layouts, equipment schedules, technical submittals, and project documentation.
- Coordinate procurement and delivery of PV modules, inverters, racking, and electrical equipment.
- Support construction scheduling, site readiness, material delivery, inspections, and commissioning activities.
Communication & Stakeholder Alignment
- Coordinate communication between internal teams, clients, and subcontractors.
- Prepare and distribute project updates and status reports.
- Attend project meetings and capture clear, actionable meeting minutes.
Financial & Change Tracking
- Track project progress against milestones using project management tools (Zoho, Excel, etc.) and escalate deviations as required.
- Prepare and maintain project reports, including schedules, financial summaries, and dashboards.
Procurement & Field Coordination
- Coordinate procurement activities including RFQs, purchase orders, and material tracking.
- Ensure materials meet specifications and are delivered on time.
- Support coordination with field teams and subcontractors.
- Conduct site visits to verify project conditions, validate scope alignment, and support installation readiness.
Data, Reporting & Process Support
- Maintain project tracking tools (Zoho, Excel, etc.).
- Prepare reports including schedules, financial summaries, and dashboards.
- Support continuous improvement of project processes and templates.

Qualifications
- 2+ years of project coordination experience in Canada, preferably within Ontario construction, electrical, renewable energy, engineering, or infrastructure projects.
- College diploma or university degree in engineering technology, construction management, project management, business, or a related discipline.
- Experience coordinating contractors, engineers, suppliers, clients, and field activities.
- Comfortable reviewing construction drawings, single-line diagrams (SLDs), specifications, and technical documentation.
- Ability to understand project scope and identify discrepancies between drawings, site conditions, and contractor requirements.
- Experience with RFQs, purchase orders, material tracking, schedules, RFIs, change orders, and project documentation.
- Strong Excel skills and experience with project management systems such as Zoho Projects, Asana, or similar platforms.
- Strong written and verbal communication skills.
- Ability to manage multiple active projects and proactively follow up on outstanding items.
- Experience coordinating construction, electrical, renewable energy, or engineering projects is strongly preferred; commercial solar PV experience is a significant asset.
- Familiarity with Ontario ESA, LDC/CIA, permitting, or utility processes is a strong asset.
- PMP/CAPM certification or progress toward a project management designation is an asset.
- Valid Ontario driver’s licence and willingness to travel to project sites within Ontario (up to 30%).
