Position Summary:
The Executive Engagement Manager is responsible for planning and implementing all facets of engagement events and opportunities for the Chief Executive Officer, Chief Conservation Officer, and other Executive Team members at Audubon. Working under the direction of the Senior Manager, Executive Communications with a dotted line to the Vice President, Principal Giving, the Executive Engagement Manager is responsible for coordinating across the Development, Conservation, Marketing & Communications, Executive Office, and other teams to ensure the seamless execution of engagement activities and events.

The Manager is responsible for the scheduling, agenda development, and follow through of all Executive engagement strategy and planning meetings. They will develop and execute a consistent and rigorous approach to ensure the executive engagement strategy is implemented seamlessly. The successful Manager possesses a keen attention to detail and follow-up skills to see a project through from beginning to end. They will have experience navigating in matrixed environments and thrive within a team dynamic. The ideal individual will exercise good judgment in a wide range of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This position offers a combination of in-office and virtual work.
Compensation:
$85k-$95k/yearly

Essential Functions:
o Coordinate development of a comprehensive strategy for CEO engagement with key audiences, including but not limited to donors, staff, Board, media, conservation leaders, and partners.
o In partnership with a cross-functional team, develop and maintain a calendar of executive engagement opportunities.
o For each engagement, define the trip's objectives, purpose, and scope, then coordinate with others on the team to produce the CEO’s briefing book and materials.
o Serve as the CEO’s ‘body person’ for events and travel as required.
o Manage a list/schedule of potential donor meetings along with other meetings, speaking events, media opportunities, etc., for each engagement and targeted geography.
o Liaise with the supervisor, CEO EA and Development Manager, Principal Giving weekly on active and future projects and schedule meetings on behalf of the CEO.
o Track, manage and report on logistics, event plans and materials.
o Develop a checklist for each CEO event to clarify roles, responsibilities, deadlines, people involved, materials needed, logistics, timing, and follow-up correspondence.
o Develop and manage a system to capture timely input and feedback from everyone involved and gather consistent and actionable data.
o Initiate and respond to travel-related correspondence, i.e., thank you letters to staff, and coordinate with the development manager on board member and donor correspondence.
o Provide virtual and onsite administrative support to the CEO and other executive staff as needed to execute engagement opportunities.
o Other job-related duties as assigned.
Qualifications and Experience:
o Interest, understanding, and commitment to the National Audubon Society's mission and be able to communicate Audubon’s mission, goals, and programs effectively.
o Bachelor's Degree and at least five (5) years of professional experience in a leadership support role, executive assistant, event planner, and/or logistics specialist.
o Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook). Ability to learn and use Asana, Audubon’s work management platform.
o Available for up to 30% travel with the CEO, domestically and internationally, for up to a week at a time.
o Demonstrated project management skills.
o Research-savvy; internet and resource proficient.
o Poised, confident, self-directed, works independently and is assertive, resourceful, and adaptable.
o Demonstrated success working on a fast-paced team in a hybrid/remote environment.
o Ability to maintain confidentiality while exercising discretion and personal judgment.
o Results-driven, highly organized, and detail-oriented approach to work with a commitment to excellence.
o Excellent written and oral communication skills.
o Proactive communicator who seeks input and asks for help when needed rather than waits for it to arrive.
