AMPIN Energy Transition is looking for a highly organised and proactive Executive Assistant to support multiple CXOs across the organisation. This role requires exceptional coordination capability, strong communication skills, and the ability to manage complex, fast-moving priorities in a high-growth renewable energy environment.
Key Responsibilities:
• Manage end-to-end calendars for multiple CXOs, ensuring prioritisation, conflict resolution, and seamless scheduling.
• Coordinate internal and external meetings, reviews, board discussions, and leadership engagements, including agenda preparation and logistics.
• Handle domestic and international travel planning—flights, hotels, cabs, visas, itineraries, and travel documentation.
• Prepare presentations, briefing notes, meeting packs, and high-quality documents for CXO-level discussions.
• Record Minutes of Meeting (MoM), track action items, and ensure timely follow-ups across departments.
• Act as the primary point of contact between CXOs and internal teams, investors, partners, consultants, and external stakeholders.
• Manage confidential correspondence, emails, calls, and communication with professionalism and discretion.
• Support CXOs in reviewing key business updates, project dashboards, MIS, and strategic priorities.
• Coordinate leadership events, investor visits, project site visits, conferences, and internal workshops.
• Maintain organised records, confidential files, approvals, and documentation for CXO offices.
• Process expense reports, reimbursements, vendor invoices, and budget tracking for CXO-related activities.
• Handle special projects, research assignments, and cross-functional coordination as required by CXOs.
• Ensure smooth day-to-day functioning of the CXO office with high responsiveness and attention to detail.
Key Competencies

• Proficiency in MS Office (Outlook, Excel, Word, PowerPoint) and digital collaboration tools
• Ability to work with senior leadership, investors, partners, and cross-functional teams
• Strong problem-solving skills and a proactive, ownership-driven mindset
Qualification
• Graduate degree in any discipline; MBA preferred
• 5-15 years of experience supporting CXOs / senior leadership, ideally in renewable energy, infrastructure, or fast-growth organisations
