About The Role

The Philanthropy Coordinator plays a key role in supporting the American Forest Foundation’s fundraising efforts by ensuring strong donor stewardship, smooth development operations, and effective coordination across the organization. This is a hybrid position that reports to the Director of Philanthropy, Public Finance Lead. The coordinator helps to maintain high-quality funder relationships through timely communications, accurate data management, and assistance with the preparation of compelling stewardship and proposal materials. The position advances fundraising activities, donor research, data management, and event logistics through cross-departmental coordination.

Requirements

Responsibilities:

  • Manage development operations, including donor mail processing, accurate gift entry, and adherence to established gift-processing procedures.
  • Maintain high-quality data in the CRM by tracking KPIs, generating reports, and ensuring cross-team data integrity through regular reconciliation with the Finance Department.
  • Support compliance with organizational policies and regulations related to insurance, legal, safety, and health requirements.
  • Contribute to continuous process improvement by refining workflows, documentation, and systems that enhance development team efficiency.
  • Oversee donor stewardship activities, including timely gift acknowledgements and coordination of stewardship premiums.
  • Provide research, materials, and administrative support for fundraising efforts across individual, corporate, and institutional giving.
  • Assist with event logistics for donor engagement activities such as field tours, webinars, and conferences, including limited travel (2–4 trips annually).
  • Build and maintain technical skills by staying current with fundraising tools and trends and serving as a proficient user of key software platforms (e.g., HubSpot, Microsoft Office, SharePoint, Zoom, Favro, Adobe Acrobat).

Candidate Requirements

  • Strong skills using Microsoft Office Suite, Microsoft SharePoint, HubSpot, Favro, Adobe Acrobat, and other relevant platforms.
  • Excellent interpersonal skills, with the ability to engage a wide range of stakeholders including partners, donors, volunteers, community leaders, and colleagues.
  • Donor-centered orientation, with the ability to prioritize organizational goals above personal preferences when needed.
  • Database management competency and systems-level thinking.
  • Ability to function successfully in a highly independent role and remote-first work environment.
